This policy covers the entire EasyScout platform: the web dashboard coaches use to manage their roster and recruiting pipeline, the EasyScout mobile app (iOS and Android), and the EasyScout Recruiting Log Chrome extension. All three are built and operated by EasyScout ("we," "us," "our") and share the same underlying account and database.
When you create an account, we collect your name, email address, and a password (handled by our authentication provider, we never see or store your raw password ourselves). Depending on how you use EasyScout, you may also provide:
The extension only acts when you deliberately click its button on an email that's currently open in Gmail or Outlook. It does not run automatically, does not read your inbox in bulk, and does not access email you haven't opened.
When you click "Add to EasyScout" on an open email, the extension reads that email's subject, body text (including the visible text and URL of any hyperlinks, so a recruiting video link isn't missed just because it's attached to a generic word like "here"), the sender's address, and the other addresses visible on that thread. That text is sent to our backend, which uses a third-party AI service to extract the prospective athlete's information and save it to your own team roster.
When you click "Player Chat," the extension additionally records that a message was sent or received with a particular address and when. This powers the Email Tracker feature on your dashboard.
It stores your coach account ID and email locally in your browser (so it knows which account to act on behalf of), set automatically when you're logged into the web dashboard and cleared when you log out.
The mobile app asks for camera and photo library access up front, the first time a coach logs in. It only actually uses either one when you deliberately tap "Scan Image" and choose to take a new photo or pick one from your gallery. That image is sent to our backend, which uses a third-party AI service to read the roster photo and extract each player's information.
The app also supports sharing a message directly to EasyScout from another app (for example, a WhatsApp message from a recruiting agency). This only ever processes the one message you choose to share at that moment. The app has no access to WhatsApp or any other app's messages beyond what you explicitly share to it. The shared text is sent to our backend for the same AI extraction, and you review and confirm the result before anything is saved to your roster.
| Who | What they receive | Why |
|---|---|---|
| AI processing service | Roster photos, scraped email text, or shared message text you submit for extraction | To identify and extract a prospective athlete's information |
| Database and authentication provider | Your account, roster, and communication log data | This is where your team's data is stored |
| Payment processor | Billing and payment details, for paid plans only | Payment processing for your subscription |
We do not sell your data, any athlete's data, or any other information collected across the web dashboard, mobile app, or extension to anyone, and we do not use it for advertising or marketing unrelated to your own use of EasyScout.
Much of the information EasyScout helps you collect, names, contact details, athletic and academic information, is about prospective student-athletes, who may be minors. This information is always collected at your direction, as their coach or recruiter, from sources you're already working with directly (your own email, a roster photo, a shared message, or data you enter yourself), for the legitimate purpose of managing your recruiting pipeline. EasyScout does not interact with student-athletes directly through the extension or the "Add Players" flows, and does not collect information from them independently of your own account.
| Platform | Permission | What it's for |
|---|---|---|
| Chrome extension | Access to Gmail / Outlook pages | Reading the currently open email when you click the extension's button |
| Chrome extension | Storage | Remembering which logged-in coach account it's acting on behalf of |
| Mobile app | Camera | Taking a new roster photo to scan, only when you tap "Take Photo" |
| Mobile app | Photo library | Choosing an existing roster photo to scan, only when you tap "Choose from Gallery" |
Roster, communication log, and account data are kept for as long as your EasyScout account is active, or until you delete them yourself from the dashboard. Locally-stored device data (like the extension's saved coach ID) is kept only until you log out or uninstall.
Data sent across the web dashboard, mobile app, and extension travels over encrypted (HTTPS) connections. Access to your team's roster and communication logs is restricted to your own account (and any staff accounts you've explicitly added), enforced at the database level.
EasyScout is built for coaches and recruiters, not for use directly by children. It may contain information about prospective student-athletes who are minors, submitted by their coach for legitimate recruiting purposes as described above. If you believe a minor's information was submitted to EasyScout other than through that process, contact us using the details below.
If this policy changes in a way that affects what we collect, send, or store, we'll update the "Last updated" date above. Continued use of EasyScout after a change means you accept the updated policy.
